Job Description
We are a well established business with over 35 years of experience and we operate across a group of companies that cover sectors including publishing, training and marketing. We are seeking a Senior Level Administrator/Office Manager to support our Commercial Director within a Course Administrator/Manager role which will be a stand alone position to work in the education and training sector of the business within a prestigious brand to manage the process of the training academy and the courses we provide. The role requires a candidate with strong and proven senior level admin, office management, training administration or support experience from an educational, training or other administration role whereby you are managing high volumes of admin that require excellent organisational skills and compliance with GDPR. This role is to manage the course and learners administration function and processes and does not require the need to manage staff.
Working full time Monday to Friday 9am - 5.30pm, the role offers a generous basic salary of up to £30k, with 20 days holiday plus bank holidays (rising 1 day every year up to 25 days) free parking and pensions scheme with some flexibility for home working once trained.
Reporting to the Commercial Director on a day to day basis within a team of 4, the role of Course Administrator/Manager, will be responsible for managing the administration of the academy, managing student registration, providing support to students, trainers, authors and affiliates as well as being responsible for the online course administration.
This is an exciting and rare opportunity to secure a varied and interesting role and would suit candidates with previous office management or senior admin experience. Any knowledge of the training, education, learning or recruitment sectors would be useful but we are happy to consider applicants simply seeking a new challenge that can utilise their strong administration and organisational skills in a stand alone role. The main duties of the role are below:-
Administer student registrations and provide support to students, trainers, authors and affiliates
Administration of online course material via bespoke websites and online proctoring service
Implement time saving procedures
Process student and training applications
Update Excel sheets - applications / ticket requests, payments, student details, results, charges, postal dates etc.
Provide ongoing student support (course enquiries, online access, assignment queries etc.)
Close communication with Accounts Dept. to ensure course fees are paid promptly
Schedule and administer all online assessments
Coordinate third party assessor certification programmes
Update student correspondence according to course changes
Travel and accommodation co-ordination
Issue certificates and ID cards to successful students
Authorise supplier invoices
Maintain Quality Management System
Liaise with authors on student queries and assessment results
Daily liaison with Account Manager / Project Manager / Director on progress and payments
Take payments via credit card as necessary
Coordinate with training centres / trainer on classroom courses and assessment arrangements in UK and overseas, including verifying invigilator details as required
To be successful for the Course Administrator/Manager role you will have previous experience in an administration role ideally within the education or training sector and be experienced in a role that is very much process and document management driven. You will be PC literate in Word, Excel, Outlook and databases with a good level of education to include Math and English at grade C or above at GCSE''s as a minimum. You will be able to work under pressure and to deadlines with accuracy and the ability to prioritise.
