Job Title: Admin Assistant for Nursing Team (Private Clinic)
Salary - Up to £26,000 depending on experience
Location - Central London

Our client is a high end Private Fertility Clinic based in Central London and due to expansion we are looking for an Administrator to work alongside the Nursing Team who is working within a Healthcare environment as an Administrator/Receptionist and is speaking with patients daily.

Job Purpose
Work as part of a designated clinical Nursing, providing admin support that focuses on the direct needs of the individual patients going through IVF treatment.
Carry out specific delegated admin tasks and responsibilities to a high standard and competency, under the direction and supervision of a registered nurse or other registered care professionals
Responsibilities
1. To act at all times in accordance with the Human Fertilisation & Embryology Authority (HFEA) Code of Practice.
2. To keep abreast of the latest developments with regard to the HFEA, CQC, MHRA, HSE, Data Protection (GDPR)/ICO.
3. Sending initial information to couples who have enquired about treatment. (PIL, Treatment regime and pathway).
4. Under the guidance of a registered nurse book appointments in accordance with the patient''s intended treatment plans for Baseline, tracking and Investigation procedures (3DSIS, DET, ERA, FET, PREGNANCY SCANS).
5. To communicate effectively with all members of the Unit and maintain continuity of patient care. Without discrimination or prejudice.
6. Establish and provide good relationships with patients and their relatives and respect all confidential information received, in accordance with HFEA guidelines.
7. Reporting condition or concern regarding patient(s) to nursing and medical staff and ensuring that received instructions are carried out promptly and satisfactorily.
8. To understand the need to keep accurate records of patients and update their records with all communication, following contact.
9. Daily contact with patients is an essential part of the role. This contact is made via email, patient portal and telephone and responses must be made on a timely basis.
10. To send the appropriate consent forms required for treatment to patients ahead of their Nurse Consultation.
11. To update patient''s treatment checklist. Any blood results sent via email should be uploaded onto the patient file. Checklist completed and patients informed of any other outstanding screenings.
12. Fax prescriptions to Pharmasure and to patient''s local pharmacies.
13. Handle patient inquiries with empathy, until resolution and follow-up where appropriate to do so.
14. Being a calm presence when exposed to situations involving conflict or difficult conversations with patients, knowing when to appropriately escalate.
15. Demonstrate an ability to prioritise and manage their own workload and recognise where elements of care can safely be delegated to other colleagues.
16. Maintaining accurate written documentation on IDEAS (patient database).
17. Able to handle patient''s personal data without causing a breach in patient confidentiality (GDPR).
