Job Description

Merchandising Administrator

Guildford (hybrid)

£21k-£23k

Working with the B&M team, support weekly trading preparation, seasonal planning, stock purchasing and intake. Sets up and maintains administration systems to document and manage the processes accurately. Takes lead responsibility for the purchase order (PO) cycle with the supply base, reporting back via the Delivery Schedule.

Responsibilities

Assists in the preparation of the weekly trading pack: to include Sales and Margin; Stock; Out of Stock (OOS); Back order and Availability analysis. In addition, maintains daily full price: markdown SKU listing.

Undertakes end season quarterly Lessons Learnt analysis, providing summaries to accompany analysis, to clearly present accurate and timely findings. Also, assists in the preparation of quarterly strategy, mid-term and sign off analysis.

Manages all aspects of intake process from PO to warehouse; liaising with suppliers; freight forwarders and warehouse.

Supports the team in raising PO''s in response to business requirements, ensuring accuracy in buy volumes, carton quantities, CBM and cost prices. Maintains accurate records, distributes PO''s to suppliers, resolves queries and obtains shipping documents in a timely manner.

Sustains a continual dialogue with the supplier base, ensuring suppliers provide order and component trackers on a weekly basis. Maintains the weekly delivery schedule. Flags delivery issues and ensures a conclusion is reached to all issues. Finally, manages the process to close PO''s once receipted.

Reviews department forward covers on a weekly basis, making recommendations to ensure OOS and over-stocks are minimised, and availability targets are met.

Takes ownership for the backorders to enable report, updates NetSuite and liaises with the Online Merchandising team to ensure Magento is updated.

Liaises with Finance and suppliers to ensure all relevant paperwork is received and filed to achieve on time payment. Helps support the creation of the weekly payments list in line with the payments process.

Prepares, writes commentary, and issues Daily Sales to the B&M Team.

Builds and maintains strong working relationships with colleagues, suppliers, warehousing, and shipping partners to optimise the supply chain.

Helps support B&M team in organising relevant preparation for supplier visits.

Supports the wider B&M team during peak trading periods and annual leave.

Undertakes adhoc projects as required.

Reports to the Junior Merchandiser.

Experience

Some experience of a retail organisation within a store or head office.

Experience working in an eCommerce retail business would be beneficial.

A relevant degree or business-related qualification ideal, but not essential.

Timely and accurate issue of both Purchase Orders and recording receipt of confirmations from suppliers
